Activities that you have created in Monarch can also be synced to your calendar. The following guidelines should help you better understand what to expect from this part of the integration.
General
- Updates to your calendar may take up to 10 minutes after the change is made in Monarch.
- We consider the following fields for syncing Activities and Calendar Events.
- Subject (Title), Date (Date), Start Time (Time), End Time (Time), Location (Location), Notes (Body), Contacts (Required Attendees)
Event Creation
- Events will only be created if the Activity Method is Call or Meeting. Methods of Email and Other will be ignored.
- Activities that can be synced and do not contain a Start and End Time will create all day events in Outlook and set the status to “Free”.
- Contacts on your Activities will be added in the Description as "Attached Contacts" if they are not previously blocked contacts. They will display their name, phone number, and email address (where applicable) for quick access.
- If all contacts on the activity are previously blocked, then a calendar event will not be created.
- Contacts are NOT currently emailed with a meeting request. They will only be displayed in the body of the calendar event. A future enhancement will give you the option to send an invitation.
- Activities will create events regardless of if they are Incomplete or Complete Activities.
- Contacts, Accounts, and Agencies are not required to display on Outlook Calendar. Activities without contacts will display if they are Calls or Meetings.
Event Update
- Updates follow the same rules as create.
- If a field was originally left blank and now has a value in it, this will trigger an update as well. This extends to missing information causing the event to not be created in the first place such as missing a Start or End date.
- Additionally if you remove a required integration field like the Start or End date it will pull the event from your calendar as well.
Event Delete
- Deleting an Activity that was previously added to my calendar will remove the calendar event from Outlook.
